You have just started your first week in your role as Public Relations Manager at NRG Advertising. You have received a phone call from a client, Cadbury Chocolate, who is unhappy with an advertisement that appeared in the magazine Women’s Day that came out on the weekend. The advertisement appeared two (2) pages from the back when it should have appeared two (2) pages from the front, the advertisement also was the wrong size.
You have talked to your boss Bob Big and he has agreed that it was NRG Advertising’s mistake and that we will have the advertisement appear in the next edition of Women’s Day in its correct spot and size, free of charge to the client. Bob Big has also asked you to make sure this gets done. Lucky for you were given an organisational chart when you started.
Question: Can you identify three (3) internal organisational manager stakeholders that you would address this to and why?

The person that you have been liaising with – Mr Rob Road Marketing Manager, Division of Safety – has sent you a cryptic email message (see below).

17. If the client changes his or her mind, that is likely to lead in a change in system requirements. What are some other external environmental factors that can lead to a change in system requirements?

Duration: No longer than 25 hours
1. Statement of Work
Task Instructions
This task is to demonstrate your skills and knowledge in documenting client business requirements. You are required to read and respond to each of the tasks below.
You will be assessed on your ability to:
1. Identify the company’s organisational structure, business culture and stakeholders.
2. Develop a Statement of Work (SOW) containing:
• An Executive Summary/Project Overview
• The Scope of the project
• Details of any ongoing support
• The Project Schedule
• Project Costs
• The Project Acceptance and Payment terms
3. Document any new system problems and requirements.
4. Review and update the documentation, as business needs change.
Scenario
Devise a solution to a technically complex business problem. To find out more about the business problem, please review the client business requirements below.
Requirements:
Aussie Computers Corporation is a medium-sized company that has a staff of approximately 36, but is expanding to over 100 in the next 12 months. The company has a procurement team that looks after the purchasing of office items such as stationery, coffee and biscuits. They also process orders for computer repairs and new equipment.
The old system is insufficient, to say the least. Whenever an employee wanted to put in an order for more biscuits or computer repairs, he or she would have to log in to the corporate intranet and then click on the order form link. After that, the employee would have to fill in the form and press the submit button. The procedure sounds easy but the problem with this old school system is that the data entered goes to only one email address and does not get stored in a database.
The ultimate problem with the old system is it is very static and lacks automation. Because no data is stored in a database, it is very difficult to keep track of data for accounting purposes. The data entered into that form is not supposed to go to only one person. If truth were told, that data is supposed to go to the employee's line manager for his or her approval. The line manager can check the budget allocated to his or her cost centre to ensure that there is enough money in the budget to approve the order.
Once approved by the line manager, the new system that will be built must generate another email that will be sent to the procurement team for processing. A new program will have to be developed and implemented. The project must be completed in three weeks.
New System Requirements:
1. Brand new user interfaces
2. Database
3. Must not require any software licences
4. Ability to send emails to the right line manager (the organisational structure can be broken up into departments that are run by line managers and each department has a number of employees, aka subordinates).
5. Different forms for buying office essentials and putting in orders
6. Takes the data entered into a form and validates it before storing the data in a database
7. The new database record is flagged as ‘not approved’ and this will not change until it is approved by the line manager
8. Special screens for managers because only managers have permission to approve or decline orders. Managers must be able to manually add new employees as well.
9. When the order has been approved the database is updated and the procurement team receives a formal order by email for processing.
10. You must complete this project in 3 weeks.
Your Company – IT Demand:
You are Pete Production (Production Manager) owner of a small company called IT Demand. Your team consist of a Sam Sales (Sale Representative) and William Web (Web Developer). You do on occasion hire freelance graphic designers and programmers to help with out of scope projects.
